It's a customer support system (helpdesk) built to go inside other digital products. Instead of you developing everything from scratch — queue, operator screen, response deadlines, reports — you use V Ai Desk as the foundation.

Your end customers (students at the school, store managers, hotel guests) open conversations inside your product. Your support team responds inside the V Ai Desk panel. Everything organized by priority, department, and deadline.

It was built to serve many customers at the same time, with each one's data separated into its own compartment. One customer never sees another's data.

    A student has a question in the school app and clicks "Talk to the team". A store manager reports a fraud suspicion in the chain's panel. They open a conversation right inside your product, without leaving for somewhere else.

A ready screen for your team to answer

The operator panel has everything an agent needs on one screen: list of open conversations, selected conversation with history, side panel with customer data and tags, keyboard shortcuts.

Why it matters

Without this ready screen, your team would waste time switching between tabs and copying data manually. Tired operator makes more mistakes; customer waits longer.

Real example

School operator opens a conversation from a student, sees the name, grade and history of past tickets, replies using the "Receipt document" shortcut, closes with reason "Clarification completed". Total time: 90 seconds.

Smart queue that distributes by priority

When a conversation enters, it's classified by department, category, and urgency. The queue orders automatically: the most urgent rises, the oldest waiting also rises. Operator picks the next without deciding.

Why it matters

Without a smart queue, either someone has to distribute manually (and nobody wants that job), or operators choose what they want to answer (and the annoying cases pile up).

Real example

In a network of 200 stores, one store reports a camera down (urgent). Another asks about the monthly report (routine). The urgent rises to the top of the SOC queue and the routine case continues in the general support queue.

Deadlines per customer, department, and type

You define how long it can take for first response and resolution in each combination of customer, department, and category. V Ai Desk warns when it's close to breaching and when it has breached.

Why it matters

Premium customer can't wait the same as entry-level. Critical case can't wait the same as a general question. Without configurable deadlines, everyone waits the average — which penalizes those paying more and cases that need priority.

School on "Pro Plan" has 30 minutes for first response on critical tickets. When 5 minutes are left, supervisor gets an alert. If it breaches, an automatic incident is opened.

Messages arrive in real time

Operator sees the new message appear on the screen without refreshing. Customer sees the reply right away too. When the operator is typing, the customer sees "typing…".

Support that's slow to update the screen feels broken. Customer thinks no one saw it. Operator answers with a 5-minute delay because they didn't see it arrive.

Operator registers responses they type frequently ("Documentation attached", "We'll check and get back in 24h", "Can you confirm the order number?"). Applies with one click.

Auto-replies for frequently asked questions

When the customer opens a conversation, V Ai Desk searches the FAQ bank for something similar. If it finds a high-confidence answer, it suggests it to the customer before even occupying an operator.

Why it matters

Many questions repeat ("How do I change my password?", "Where do I see my plan?"). If a robot already solves it, operator only handles the cases that really need them — and the customer is served in seconds instead of minutes.

Customer opens a conversation asking "how do I see my invoice". V Ai Desk suggests the registered answer with a link to the billing screen. Customer confirms it was solved, conversation closes without an operator stepping in.

Conversations on hold when waiting is needed

When the operator needs to wait for a response (from the customer, another area, supplier), they put the conversation on hold with a reason. The queue doesn't count that time as SLA delay.

Why it matters

Without hold, the operator is punished for something not under their control. Or they invent ways to "hide" the case, which pollutes the metrics.

Real example

Operator needs to wait for the customer to send a product photo. Hold with reason "Awaiting documentation from customer". When the customer sends it, conversation comes back automatically.

Transfer between departments and people

Operator realizes the case belongs to another department or a specific colleague. Transfers with a reason. The recipient receives the conversation with full history — customer doesn't have to repeat anything.

Why it matters

Without clear transfer, customer is thrown between channels and has to tell the story again. It's the main reason for low NPS in support.

Real example

Customer opens a financial complaint in general support. Operator transfers to the Finance department with note "Customer already sent receipt, awaits analysis". Finance opens the conversation already with context.

Every action is recorded

Everything that happens in a conversation — who opened, who answered, who transferred, when it closed, what reason, what classification — is recorded in a log that no one can delete or alter.

Why it matters

In regulated sectors (education, healthcare, financial), you need to prove what happened if there's a challenge. In any sector, you need to understand what went wrong to improve.

External audit needs to see all conversations of a student in the last 7 years. You export the complete log straight from the system, with timestamps and actions.

Dark mode and three languages

Panel works in light or dark theme (each operator chooses). Interface in Portuguese, English, or Spanish, switching on the fly.

Why it matters

Operator who answers 8 hours a day needs visual comfort. Team distributed across multiple countries needs native language.

Operator in Brazil uses PT-BR with dark theme at night. Operator in Mexico uses ES with light theme. Same platform.

Each customer is a closed city

V Ai Desk was built to serve multiple customers at the same time inside the same system — one school, ten schools, a thousand schools. Each customer has their own data, their own queue, their own operators. They never cross.

For larger customers who need organization by units (a store chain with multiple stores, a hospital with multiple wards), you can create subgroups. Operator from one store only sees that store's conversations.

If something goes wrong with a specific customer — suspected leak, court order, contractual issue — V Ai Desk has a switch that isolates that customer in one operation. API stopped, webhooks stopped, operators logged out. The others continue normally.

Security and data

Each customer's data stays separated in the database by a security layer called Row-Level Security — it's the database itself that prevents one customer from seeing another, not just application code.

Messages exchanged travel over encrypted connection (TLS 1.3) and are stored encrypted too. File attachments live in separate storage, also encrypted. Operator passwords use the strongest method available today (argon2id).

For specific sectors: V Ai Desk is ready for FERPA (K-12 schools in the US), LGPD (Brazil), GDPR (Europe). The auditable log stays for 7 years by default, configurable per customer.
